Quotations and purchasing for companies

Purchasing and admin staff who need a snack box quotation for their company usually face the same three things. The manager wants clear figures, the organiser wants to know when the boxes will arrive, and everyone wants the agreed total to match what is paid. This page explains how to request a quotation from BreakHub, what to have ready, and which points the team confirms order by order.

There are two ways to ask for a price: the form on the quotation page, or the LINE order button. Both take the same information, so use whichever is easier for you.

How do I request a snack box quotation?

You can request one in four steps, from choosing a set to confirming the order. The team sums up the menu, delivery fee and total before you decide to order.

  1. Choose the set you are interested in, or give a budget per box and let the team put a set together.
  2. Send the number of boxes, the date and time you need them, the delivery address and the type of event, through the LINE order button or the quotation form.
  3. The team replies with the confirmed menu, delivery fee and total.
  4. You check and confirm, then pay 100% before delivery day. Only then does the order join the preparation queue.

If you press the LINE order button on a set page, the order summary is copied into the chat for you, so there is no need to retype it.

What company information do I need for a quotation?

The team needs five main details to price an order. If your company has extra requirements for how documents are written, include them in the same message and wait for the team to confirm whether that order can meet them.

DetailExampleWhat it is used for
Number of boxes60 boxesWorking out the total, minimum 50 boxes
Sets40 Recommend Set and 20 Best Seller SetPricing per box. Sets can be mixed, with at most 20 pieces of any one pastry
Date and timeThe 12th at 09:30Scheduling the bake
Delivery addressBuilding name, floor, drop-off pointConfirming the area and the delivery fee
Type of eventInternal meeting, training, seminarHelping to suggest a suitable set

If your company wants the document to carry a specific legal entity name or address, send it along with the order details and the team will tell you how far they can go. The documents issued on request are a quotation, an invoice and a receipt. There is more on the page about quotation, invoice and receipt documents for companies.

How is the total worked out before I ask for a quotation?

The starting figure is the number of boxes times the price per box. The delivery fee is added afterwards, based on the real distance the team confirms. It is not included in the box price.

Here is an example. An HR team orders for a quarterly meeting of 60 people: 40 Recommend Set boxes and 20 Best Seller Set boxes.

ItemBoxesPrice per boxTotal (baht)
Recommend Set40702,800
Best Seller Set20851,700
Total before delivery604,500

The ฿4,500 does not include delivery, which is charged by distance. If you want to try different mixes to fit a budget, use the snack box budget calculator before you send your details. Swapping the 20 Best Seller Set boxes for Value Set boxes would lower the total by ฿860, because each box is ฿43 cheaper.

What does the company side need to prepare for procurement?

Most procurement paperwork starts with a quotation and continues with your own internal approval. BreakHub cannot know your company's steps in advance, so check with accounting or the approver before you send the request.

These are the questions worth asking inside your company first.

  • Number of quotations. Some organisations must attach several quotations for comparison, so ask the approver how many are needed.
  • Approved budget. Check whether the budget for this event includes delivery, because delivery is separate from the box price.
  • How items are listed. Internally you may need to write it per box or as a single snack set, so tell the team which form you want.
  • Paperwork after delivery. If you need an invoice or a receipt, say so in your first message.

A quotation, an invoice and a receipt can be requested. Any special document format that your organisation sets itself is not fixed on this page and has to be confirmed with the team order by order before you place the order, so accounting does not find a mismatch later. Government work has its own page: break boxes for government agencies.

How does a break catering quotation help the buyer?

A quotation shows the approver the items, the quantity and the total on a single page before any money moves. The buyer can also use it to confirm with the team what was agreed. Here are two situations compared.

SituationPrice asked only in chatWith a quotation
Asking for budget approvalOnly chat messages to attachThe items and total the team confirmed
Checking the deliveryYou have to remember how many boxes were agreedCompare the count against the document straight away
Changes after orderingScroll back through the chatState exactly what changed from what

The delivery fee is where paperwork stalls most often. Admins tend to get approval for the pastries only and meet the delivery fee later. To avoid that, ask the team to put the delivery fee in the first total, and write in your approval request "box total plus the delivery fee quoted by the team".

Can I cancel, change the quantity or get a refund after ordering?

You can reduce the number of boxes if you tell the team 48 hours ahead. After that, the original count stands as the amount to pay. This page gives no fixed terms for cancelling a whole order or for refunds, so message the team on LINE the moment your plans change and they will say whether that order can still be changed, depending on where preparation stands.

A few habits lower the risk.

  • Confirm attendance as closely as you can. Do this before you confirm the order, because changes after preparation starts are harder.
  • Give a range if you are unsure. Say 60 to 70 boxes and ask the team how late you can lock the number.
  • Keep the confirmation message. The team's summary of items and total is your evidence when you ask for a change.
  • Watch the 50-box minimum. If a reduction would drop the order below 50 boxes, ask the team first, because the minimum per order is 50.

Refunds work the same way: ask about the terms before you confirm, not after the pastries have been made.

What should I check before I send the quotation form?

If you can answer these six points, the team has almost nothing to ask back and you get the quotation sooner.

  1. The date and time you want the boxes.
  2. The total number of boxes and how many of each set.
  3. The delivery address, with the floor or meeting point and a contact name on site.
  4. The budget per box or the approved total.
  5. The paperwork your company needs after delivery.
  6. Any food concerns among attendees, which you should ask the team about.

Deliveries to offices more often go wrong over an unclear address or nobody coming down to receive the boxes than over price, so give a contact who can be reached on the day. It also helps to compare your list with the snack box ordering checklist for purchasing teams and to browse all sets on the snack box page.

What to know before ordering

A BreakHub quotation applies to orders of 50 boxes or more, and several other limits are worth knowing before you plan.

  • Minimum 50 boxes per order. Smaller events cannot order directly, so try combining several teams or breaks into one order, or ask the team on LINE.
  • Delivery is separate. The fee is by distance and quoted before you confirm. The team checks each address first to see whether delivery is possible.
  • Not everything can be done on the same day. The normal lead time is 2 days. The rush options use a limited menu and depend on the queue.
  • Payment in full before delivery. You pay 100% before delivery day, and reducing the box count needs 48 hours of notice.
  • Allergies. BreakHub does not guarantee that boxes are safe for people with food allergies. If you have a specific case, ask the team before ordering how far they can help with the menu.

Summary

Requesting a snack box quotation for your company from BreakHub takes only a few details: number of boxes, sets, date and time, delivery address and type of event. Boxes are ฿42, ฿70 and ฿85, the minimum is 50 boxes, and delivery is quoted separately by distance. The team confirms the total before you decide to order. If you have document requirements or cancellation questions, raise them in your first message.

When you are ready, send the details through the quotation form or press the LINE order button on a set page.

Frequently asked questions

How do I request a snack box quotation, and where do I start?

Start by sending the number of boxes, the date and time, the delivery address and the type of event through the LINE order button or the /quote/ form. The team replies with the confirmed menu, delivery fee and total. If you are not sure which set to choose, give a budget per box and they will help.

What is the minimum number of boxes for a meeting snack quotation?

The minimum is 50 boxes per order. You can mix sets in one order by telling the team how many of each. Boxes start at ฿42 and the delivery fee is not included in the box price. If your event is smaller than 50 boxes, try combining several teams into one order.

What company information do I need to give?

The main details are the number of boxes, the sets, the date and time, the delivery address and the type of event. If your company wants the document to show a specific legal entity name or address, mention it when you ask, and check with the team whether that format can be confirmed for your order.

Can I cancel a snack box order?

There are no fixed terms for cancelling a whole order on this page. Tell the team on LINE as soon as your plans change, and they will say whether that order can be cancelled, depending on where preparation stands. Ask about this before you confirm the order.

Can I change the number of boxes after ordering?

Yes, but tell the team on LINE as soon as you know the new number. Reducing the count needs 48 hours of notice, and after that the original count stands as the amount to pay. A reduced order cannot go below the 50-box minimum, and increases depend on the day's queue.

Can I get a refund on a snack box order?

Ask the team about refunds before you confirm the order, because the answer depends on the case, such as cancelling before preparation starts or a problem at delivery. You pay 100% before delivery day, and it helps to keep the confirmation message of items and total for any later conversation.

What documents do I get with a company snack box order?

A quotation can be requested through the form, and an invoice and a receipt can be issued on request. Any special format that your organisation sets itself has to be confirmed with the team order by order before you order. Mention your document needs in your first message so you get a quick answer.

How many days ahead should I ask for a quotation?

Ask at least 2 days before the event, to leave time for internal approval and for the team to check the queue. If you have less time, there are rush options: order before 10:00 for 17:00 the same day, with a limited menu. Ask on LINE about the queue first, as the team does not promise it in advance.
