The break budget calculator above works out a total from the real BreakHub package prices. Enter your headcount, choose a package, and the total appears at once. The rest of this page gives the formula, sample tables and the extras to allow for, for anyone who wants to understand the numbers before confirming an order, or who has to explain the budget to an approver.

How to calculate a coffee break budget

The formula multiplies three numbers: headcount, number of breaks and box price. The result is the box cost before delivery. The minimum order is 50 boxes.

  1. Count the people who will actually come (add a small buffer if you are unsure)
  2. Decide on the number of breaks, for example 1, or 2 for a full-day event
  3. Choose a package and multiply by its price
  4. Add the delivery fee the team quotes, which is charged by real distance

Working out snack box prices by hand is easy, but people often forget to multiply by the number of breaks, and forget delivery. Those two are the main reasons the final amount differs from the budget that was set. The calculator above stops you forgetting the first. The second has to wait for the team's quote.

Which package prices does the calculator use?

This snack box price calculator uses the per-box price of all 3 real packages. The table shows what each box contains.

PackagePrice per boxIn the box
Value Set42 baht1 classic pastry + 100 ml cup of drinking water
Recommend Set70 baht2 premium pastries (no drink)
Best Seller Set85 baht2 premium pastries + 180 ml orange juice drink

Pastries are chosen from each set's menu. Value Set has a classic menu of 10, while Recommend Set and Best Seller Set have a premium menu of 19. The team confirms the list before preparing anything. If you want to add or swap the drink box by box, message the team on LINE. The calculator does not add delivery, because delivery is charged by real distance and confirmed per address.

Coffee break for 30 people: how much?

For 30 people with one break, counting purely per head gives a total between 1,260 baht (Value Set) and 2,550 baht (Best Seller Set). But an order cannot be under 50 boxes, so the real budget to set is the 50-box figure.

PackageWorked out at 30 boxes (for comparison only)Minimum order of 50 boxes
Value Set1,2602,100
Recommend Set2,1003,500
Best Seller Set2,5504,250

Figures are in baht. The 20 extra boxes can go to another team on the same day, or you can combine with another department's order to reach 50. If you really need fewer, message the team on LINE rather than guessing. For more on events this size, read the guide to snack boxes for 30 people.

Coffee break for 50 people: how much?

For 50 people with one break, the total is between 2,100 baht and 4,250 baht before delivery, depending on the package.

Package50 people, 1 break (50 boxes)50 people, 2 breaks (100 boxes)
Value Set2,1004,200
Recommend Set3,5007,000
Best Seller Set4,2508,500

Figures are in baht. People who ask about a 50-person break budget mostly want one number to put forward. The figure we suggest as your frame is the total for the package you pick, plus the delivery fee the team quotes. For more guidance, read the guide to snack boxes for 50 people.

Coffee break for 100 people: how much?

For 100 people with one break, the total is between 4,200 baht and 8,500 baht before delivery. When the box count is high, the gap between packages grows into thousands of baht, so choose the package before you fix the budget.

Package100 people, 1 break (100 boxes)100 people, 2 breaks (200 boxes)
Value Set4,2008,400
Recommend Set7,00014,000
Best Seller Set8,50017,000

Figures are in baht. Events of 100 or more usually have several groups, such as executives, speakers and general attendees, so mixing packages is a good way to hold the budget. See the guide to snack boxes for 100 people for anything larger.

You have a budget: how many boxes can you order?

Take your budget and divide it by the box price, dropping the remainder. That gives the maximum number of boxes. You cannot go under 50 boxes, because that is the minimum order. If the answer is below 50, the budget does not reach that package, so try a cheaper one.

Total budget before deliveryPackageWorkingMaximum boxes
3,200Value Set 423,200 ÷ 42 = 76.276
3,200Recommend Set 703,200 ÷ 70 = 45.7 (under the minimum of 50)Cannot order
5,000Best Seller Set 855,000 ÷ 85 = 58.858
8,000Recommend Set 708,000 ÷ 70 = 114.3114

If your total budget already includes delivery, set aside part of it for delivery before you divide. Ask the team roughly what delivery costs in your area first, and do not guess. See the guide to snack box delivery fees.

How do you work out a real event budget step by step?

These examples use real package prices, but the scenarios are made up and are not quotations. Every total is before delivery.

One-day training for 45 people with morning and afternoon breaks

Choose Value Set for the morning break and Recommend Set for the afternoon break, when people have been sitting longer. The two breaks make 90 boxes in one order, comfortably over the 50-box minimum. If you want delivery split into two rounds, ask the team when you order.

  • Morning break: 45 x 42 = 1,890 baht
  • Afternoon break: 45 x 70 = 3,150 baht
  • Total 5,040 baht, about 112 baht per person for the whole day

Seminar for 70 people, including 6 speakers

The 64 attendees get Recommend Set, and the 6 speakers get Best Seller Set.

  • 64 x 70 = 4,480 baht
  • 6 x 85 = 510 baht
  • Total 4,990 baht, two packages in one order

Small meeting of 8 people

An order cannot be under 50 boxes, so a meeting of 8 is not something you can order directly. One option is to combine with another department's order to reach 50 boxes, or message the team on LINE to ask whether there is any option for small events. At the real minimum with Value Set, it is 50 x 42 = 2,100 baht, and someone would need to take the remaining 42 boxes.

When you take the numbers to an approver, we suggest writing four lines: the package and price per box, the number of boxes, the total box cost, and the delivery fee still to be confirmed. That way the approver knows in advance that the final amount will be higher than the box cost once delivery is added.

One more thing to check before you close the numbers is the delivery date and time for each break. If you need two deliveries in one day, ask the team whether delivery is charged once or twice. And if people turn up after you have confirmed, adding boxes may not be possible in time, so agree the final count as early as you can.

What does the calculator leave out, and what should you add?

The calculator covers only the box cost. Three things you need to add or confirm yourself.

  • Delivery is charged by real distance, and the team quotes it when confirming the order. If you need two deliveries, ask whether it is charged once or twice.
  • Paperwork. If your organisation needs a quotation, invoice or receipt, tell the team when you order and they will issue it on request.
  • A spare buffer. If you worry that more people will turn up, you might add 2 to 3 boxes. As a cost, 3 extra Recommend Sets is 210 baht.

Once you have the numbers, pass them to the team on LINE, or fill in the quotation form. Order at least 2 days ahead, and pay in full, 100%, before the delivery day. We deliver in Bangkok and the surrounding provinces. The pictures on the site are illustrations.

What to know before ordering from a calculator total

The calculator gives a checkable estimate, but it is not a quotation, and a few limits apply.

  • It covers the box cost only. Delivery is charged by real distance and quoted when the team confirms the order, so it is not in the calculator's total.
  • The minimum is 50 boxes. The calculator will show a figure for a smaller event, but we do not accept orders below 50 boxes.
  • Reductions need 48 hours' notice. After that the original count stands, so settle the final headcount early.
  • Not every order can go same-day. Rush options use a limited menu and depend on the day's queue, so order at least 2 days ahead.
  • There are three prices only. Box prices are ฿42, ฿70 and ฿85, and the calculator works out nothing else.

Summary

A break budget is headcount times number of breaks times the box price of ฿42, ฿70 or ฿85, plus delivery charged by real distance. BreakHub's minimum is 50 boxes and orders need at least 2 days of notice. If you start from a lump sum, divide it by the box price to see how many boxes it buys.

Once you have a figure, request a confirmed total through the quote form or press the LINE order button on a set page.

Frequently asked questions

How much should a coffee break for 100 people cost?

For 1 break and 100 people, the box cost is 4,200 baht (Value Set) to 8,500 baht (Best Seller Set) before delivery. With two breaks, multiply by two: Recommend Set for two breaks is 14,000 baht, for example.

What is the budget for a coffee break for 50 people?

For 1 break and 50 people, it is between 2,100 baht and 4,250 baht before delivery. Recommend Set is 3,500 baht and Best Seller Set is 4,250 baht, for example.

How much is a coffee break for 30 people?

The minimum per order is 50 boxes, so you work the total out at 50 boxes, which is between 2,100 baht and 4,250 baht before delivery. The boxes beyond 30 can go to another team or be combined with another department's order.

Does this calculator include delivery?

No. The calculator works out the box cost only. Delivery is charged by real distance, and the team quotes it when confirming the order. Add it yourself once you have the figure.

How do I calculate if I mix packages?

Work out each package separately (boxes x price) and add the totals. For example, 40 Recommend Sets and 15 Best Seller Sets come to 2,800 + 1,275 = 4,075 baht before delivery. The total must be at least 50 boxes.

Is the calculator total the same as the quotation?

The box cost is the same, but the quotation also includes delivery and the menu the team has confirmed. If your organisation needs a quotation, you can request one through the quotation form page.
