How to order snack boxes so they arrive before the event

When snack boxes turn up late, the delay is usually in the stretch after the van reaches the building. Nobody is there to receive, the drop point is unclear, the service lift has a queue, or the vehicle cannot enter the car park. All of this can be planned for. This page is for anyone who wants on-time snack box delivery, especially for a morning meeting.

What we can confirm is that delivery time is agreed order by order. We do not publish a standard delivery time and we do not guarantee one. The team confirms the area and the time before you commit. What you can prepare on your side is set out below.

What time should break boxes arrive before the event?

Aim for the boxes to arrive about 30 to 60 minutes before the event starts, and allow more if the building is hard to get into. That figure is a planning guide for the organiser, not a time BreakHub promises.

The buffer gets used up on four things.

  • Visitor pass and finding the drop point: in a large building this can take several minutes before the driver reaches the table.
  • Carrying boxes up in the lift: especially in the morning, when lifts are crowded.
  • Counting boxes against the order: best done before the driver leaves.
  • Setting out on a table: if you want a serving point rather than handing out one by one.

What should you prepare for morning meeting snack delivery?

For a morning meeting, order early and state the time clearly, because a morning meeting leaves the least slack and a late delivery cannot be fixed. Take a meeting for 60 people that starts at 9:00 with a break at 10:30. The boxes should be ready before 9:00, not scheduled to arrive at 10:00.

  1. Order at least 2 days ahead: so the team can confirm timing, menu and delivery fee in good time.
  2. Separate meeting time from ready time: these two times should not be the same.
  3. Ask whether a very early slot is possible: an early-morning drop has to be confirmed case by case.
  4. Name a receiver who is on site early: not someone who has not yet reached the office.
  5. Recheck the day before: confirm the receiver is still available and the drop point is still usable.

What drop point and vehicle access details should you give?

The driver needs to know where to take the boxes and where the vehicle can stop. Those two details prevent more delay than anything else, so include them in your order message from the start.

ItemWhat to state
Address and building nameA name that works in navigation, including the correct entrance
Drop pointLobby, banquet room, floor or room
Vehicle accessWhether short-stay parking is allowed, whether a pass is needed, and whether the car park has a height limit
ReceiverName and a phone number that is answered before the delivery time
RestrictionsTimes when loading is banned, such as when the service lift is booked

If you are unsure about vehicle access, ask building management before you order and tell the team. Our delivery area is Bangkok and the surrounding provinces, confirmed address by address. Check the details on the Bangkok and surrounding provinces delivery page.

How do you receive snack boxes at a hotel smoothly?

To receive snack boxes at a hotel, ask the banquet or front-of-house team first whether outside deliveries are accepted and at which point. Some hotels have their own conditions or service charges, which are separate from BreakHub and must be checked with the hotel directly.

  • Ask for the drop point and contact: get both from the hotel before the event day.
  • Use the room and floor names the hotel uses: so the driver does not get lost.
  • Ask about the loading bay: and whether security needs advance notice.
  • Have your own person waiting at the drop point: before the delivery time, so the driver does not stand around in the lobby.

Whether a hotel address can be served is confirmed address by address by the team. We do not have a published list of districts to check in advance.

What does a delivery schedule look like for a half-day event?

A good snack delivery schedule works backwards from the serving time. This example uses a meeting that starts at 10:00 with a break at 10:30. The times are for planning only and are not times BreakHub publishes.

Time (example)Activity
2 days beforeSend event details to the team, confirm menu, delivery fee and total, and pay in full
1 day beforeReconfirm receiver, drop point and timing with the team
8:30Receiver is in position at the drop point
9:00Boxes arrive, get counted and laid out
10:00Meeting starts, snacks ready
10:30Break is served

If you do not want the snacks sitting for long before serving, ask the team about a delivery time closer to the break. That trades against traffic risk, and you have to weigh that yourself. Our pastries are baked fresh with no preservatives, so they should not sit in a hot room for long.

What information should you send the team for on-time delivery?

There are six items to send. If they are complete in the first message, the team does not need to chase you and nothing important slips through.

  1. Box count and sets. If you are mixing sets, give the count for each.
  2. The date and the time you want the boxes ready to serve, separate from the event start time.
  3. Building name, full address, floor, room and drop point.
  4. Name and phone number of at least one receiver on site, plus a backup if you have one.
  5. Building restrictions, such as visitor passes, car park limits or loading bans.
  6. Documents you need, such as a quotation, which you can request on the quotation request page.

A complete message looks like this: "Recommend Set, 60 boxes, 12 November, ready to serve at 10:00, to the office building, floor 12, meeting room B. Receiver is Ms. Mali, visitor pass needed at the lobby." A message like this shows the team straight away what to watch for. The name is made up. The set cost is 60 x 70 = 4,200 baht before delivery.

What if the boxes arrive late or the count is wrong?

If the boxes have not arrived when expected, contact the team on LINE straight away with the time you need them and the venue. The team will update you on the status. Do not wait until well past the start time before getting in touch.

When the boxes do arrive, check three things at once: whether the box count matches the order, whether the sets match what you ordered, particularly if you mixed several sets, and whether the boxes are in good condition. If you find a problem, take a photo and tell the team immediately.

What to know before ordering

Delivery timing has limits worth knowing before you plan the event, because some of them decide whether you need a backup plan.

  • No guaranteed delivery time: the confirmed time follows the queue and the address of each order. Traffic and building rules are outside our control.
  • Minimum 50 boxes and at least 2 days notice: orders closer to the event must be checked against the queue first.
  • Rush options have a limited menu: order before 10:00 for 17:00 the same day, or within 4 hours of confirmation, depending on that day's queue.
  • Confirmed address by address: the usual area is Bangkok and the surrounding provinces. Delivery is priced by real distance and quoted before you confirm.
  • Reducing the box count needs 48 hours notice: and payment is in full before delivery day.

Summary

On-time snack box delivery works best when you give the time you want boxes ready, not only the event start, and allow 30 to 60 minutes for getting upstairs, counting and setting up. Give the address, drop point and on-site phone number when you order. The real delivery time is agreed order by order and is not guaranteed.

Prepare the details above and send them through the quotation request form or the LINE order button on a set page. The team will confirm the menu, delivery fee and timing before you commit.

Frequently asked questions

What time should break snacks be delivered before the event?

Aim for the boxes to arrive 30 to 60 minutes before the event, and allow more for tall buildings, hotels or heavy morning traffic. The real delivery time is agreed with the team order by order. We do not publish a standard delivery time.

Can you deliver meeting snacks in the early morning?

You can ask, but a very early slot has to be confirmed case by case. Order at least 2 days ahead, state the time you want the boxes ready, and name a receiver who will be at the venue from early morning.

How do I receive snack boxes at a hotel?

Ask the hotel whether outside deliveries are accepted, where, and on what terms. Then send the room, floor, drop point and contact to the team. Whether a hotel address can be served is confirmed address by address.

How should I plan time for receiving the order?

Work backwards from the serving time. Allow for traffic, getting upstairs, counting boxes and setting up. Have a receiver in position before the delivery time, with a phone that is answered, and count the boxes as soon as they arrive.

What if the vehicle cannot get into the building?

Ask building management before you order where short-stay parking is allowed and whether a pass is needed, then tell the team when you order. If access is tight, suggest an easier drop point, such as the lobby or a loading bay.

What should I do if the boxes are late?

Contact the team on LINE at once with the time you need them and the venue. The team will update you on status. Do not wait until the start time is close, and keep a backup plan, because we do not guarantee delivery times.

How far ahead should I order to get the right time?

At least 2 days, so the team can confirm menu, delivery fee and timing in full. For shorter notice, ask about the same-day or 4-hour rush options. They have a limited menu and cannot be accepted every time.
