How many days ahead should you order snack boxes?
IllustrationThe meeting is next Friday, 60 people are coming, and you have just realised nobody has ordered snacks. The question is how many days ahead to order snack boxes, and the answer has two parts that are best kept apart. BreakHub's usual recommendation is at least 2 days. For anything tighter there is a rush option. This page explains why the time matters, what to do at each stage, and how to handle it when time runs short.
Only a few figures are real conditions: order at least 2 days ahead, the minimum is 50 boxes, payment in full comes before the delivery day, and reducing the box count needs 48 hours' notice. The sample timelines elsewhere on this page are planning guidance for your side, not guarantees.
How many days ahead should you order snack boxes to feel comfortable?
At least 2 days before the event. That is the window in which the team can confirm the menu, check the delivery area, work out the delivery fee and schedule the order. If the event is large, or you need documents before approval, allow more.
| Type of event | Suggested notice (guidance) |
|---|---|
| Regular meeting, 50 to 80 boxes | At least 2 days |
| Seminar, 100 boxes or more | More than 2 days; tell us as soon as the date is set |
| Several breaks or several drop-off points | More than 2 days, because many details need confirming |
| Order that needs a quotation before approval | Request the quotation several days before the real order date |
| Large lots of a hundred boxes or more | Tell the team before announcing the date to attendees |
The right-hand column is planning guidance for you, not a fixed BreakHub rule. If your event is large, also read the guide to ordering 200 to 500 snack boxes.
Why allow so much time when it is only snacks?
Because between the moment you place the order and the day the boxes arrive, the team has to do several things in sequence, and some of them cannot be moved. Our pastries are baked fresh for each order with no preservatives, so there is no ready-made stock waiting. The sequence looks like this.
- Receive the event details and check the destination is inside the service area.
- Suggest a set and menu that fit the budget, then confirm the menu with you.
- Quote the delivery fee and the total.
- Wait for your confirmation, collect on-site details such as the receiver, and take payment in full.
- Prepare the order and schedule delivery for the agreed time.
If you order very close to the event, steps one to four get squeezed and some detail may slip, such as the pickup time or where the van can stop. Problems like that are rarely about the pastries. They come from preparation that ran out of time.
Can you order snack boxes for the same day, and is there a rush order?
Sometimes. We have 2 rush options. "Same-day rush" means ordering before 10:00 for delivery at 17:00 the same day. "4-hour rush" means receiving the order within 4 hours of confirmation. Both work only for some pastries, the minimum is still 50 boxes, and both depend on that day's queue.
| Type | Timing rule | Good to know |
|---|---|---|
| Regular order | At least 2 days ahead | Full menu of your set to choose from |
| Same-day rush | Order before 10:00, receive at 17:00 the same day | Limited menu; queue must be checked first |
| 4-hour rush | Receive within 4 hours of confirmation | Limited menu; queue must be checked first |
The team answers case by case: yes, partly, or not on that day. We do not promise to make it every time. Send the following together when you message us on LINE and you will get a faster answer.
- Number of boxes and set: Say how many boxes and which set, and mention it if you can be flexible about the set.
- Date and time the boxes must be ready: Give the time attendees will start eating, not the start of the meeting.
- Address and drop-off point: Include the building, floor and the name of a receiver who can be reached.

What does a recommended timeline counting back from the event look like?
A timeline counting back from the event day works for medium-sized meetings or seminars, starting 7 days before and ending at delivery. Adjust it to your event. The table is planning guidance, not the team's work schedule.
| When | What you do | What the team does |
|---|---|---|
| 7 days before | Estimate headcount and budget, pick a rough set | Answer questions about sets and conditions |
| 5 days before | Request a quotation if approval is needed | Send the quotation and a first total |
| 2 days before | Confirm quantity, set, time, location and payment | Confirm the menu and delivery fee, start scheduling |
| 1 day before | Confirm the receiver and drop-off point | Run the last checks with you |
| Event day | Receive the boxes and count them | Deliver at the agreed time |
If you work in an organisation that needs a quotation before going to the approver, add your internal approval time on top. For what to include with the request, read what to send when requesting a quotation.
Until when can you change the quantity or cancel?
You can reduce the number of boxes if you tell us 48 hours before the delivery day. After that, the original count stands. Changing the menu or the set depends on whether the team has started preparing, so mention at the time of ordering if the number may change, and set your own cut-off date earlier than that.
Here is a way to think about it. An event has 60 registered people but you expect 50 to 56 to show up. If you choose the Recommend Set at ฿70 per box, ordering exactly the 50-box minimum is 50 × ฿70 = ฿3,500 before delivery. The gap between ordering 50 and 56 is 6 × ฿70 = ฿420. Weigh that against the risk of someone arriving and finding no snack. If you order 60 and want to cut to 56, you need to tell us 48 hours ahead.
What is the lowest-risk way to order with less than 2 days left?
Message the team on LINE at once with a complete message, without waiting to settle the set, and let them check whether a rush option can be made in time. Work through this order and you get an answer quickly and a backup plan.
- Send the number of boxes, date, time and address in one message. The minimum is still 50 boxes, and payment in full comes before delivery.
- Say where you can flex, such as the set, choosing from the pastries that can be made in time, or moving the delivery time.
- If the team accepts, confirm the details again and send the receiver's information immediately.
- If the team says it cannot be done, use your own backup, such as buying snacks from a shop near the venue, and order with us for next time.
Compare the two approaches below to see which fits your situation.
| Approach | Advantage | Watch out for |
|---|---|---|
| Order 2 or more days ahead | Time to confirm menu, delivery fee, timing and documents, with the full menu to choose from | You need to settle the headcount early |
| Ask for a rush order | Gets snacks to an event you only just learned about, if the queue is free | The pastry choice is limited, and it may not be possible at all |
If you are organising a break for the first time and are unsure about numbers, read the guide to a first meeting break before contacting us. It helps your first message be complete and saves time asking again.

What to know before ordering on a tight schedule
Timing has real limits that you should know before telling attendees that snacks are certain. We say them plainly so you do not plan around something that has not been confirmed.
- No guaranteed rush order: Rush options depend on that day's queue and work only for some pastries. They need the team's confirmation first.
- Always a 50-box minimum: Rush orders use the same minimum. Below that we do not accept the order.
- Arrival time must be confirmed: We do not guarantee a delivery time in advance. The time agreed for each order is confirmed by the team with you.
- Delivery area: Bangkok and surrounding provinces, confirmed per address. The delivery fee is separate from the box price and charged by real distance.
- Pay before delivery: Payment in full, 100%, comes before the delivery day. Accounting teams that need time to approve should know this early.
What are the steps to order once you have settled the timing?
There are 4 steps, starting with choosing a set and ending with the team starting preparation.
- Choose a set from the snack box sets page, at ฿42, ฿70 or ฿85 per box with a minimum of 50 boxes.
- Send the quantity, date, time, location and type of event with the LINE order button or the quote request form.
- The team confirms the menu, delivery fee and total.
- You confirm and pay, and the order goes into preparation.
For what comes after ordering, such as allowing time to receive the boxes, see on-time snack box delivery.
Summary
Ordering snack boxes at least 2 days ahead is BreakHub's normal recommendation, with a minimum of 50 boxes at ฿42, ฿70 or ฿85 per box and delivery charged separately by real distance. Large events and orders that need approval should allow more. For rush needs there are options to order before 10:00 for 17:00 the same day or to receive within 4 hours, but they cover some pastries only and need the team to check the queue.
If the event date is close, send the details through the quote request form or press the LINE order button on the set page you chose. The team tells you whether it can be done against that day's real queue.

Frequently asked questions
How many days ahead should I order snack boxes?
At least 2 days before the event, so the team can confirm the menu, delivery fee and timing. The minimum is 50 boxes. Larger events or events that need documents before approval should allow more, and you should tell the team as soon as the date is set.
Can I order snack boxes for the same day?
Sometimes. You can order before 10:00 to receive at 17:00 the same day, but this works for some pastries only and depends on that day's queue. The minimum is still 50 boxes. Message us with quantity, time and address, and the team answers case by case.
Is there a rush snack box order, and what is the 4-hour option?
The 4-hour option means receiving the order within 4 hours of the team confirming it. It works for some pastries only, the minimum is 50 boxes, and the queue must be checked first. We cannot promise it every time. Delivery is charged by real distance and quoted before you confirm.
How much notice does a large event need?
No fixed number of days is published. Allow more than 2 days and tell the team as soon as the date is set. For orders of a hundred boxes or more, contact us before announcing the date to attendees so the team can check the queue first.
How long does preparation take?
BreakHub does not publish a preparation time in hours for regular orders. The advice is to order at least 2 days ahead, which covers confirming the menu, quoting delivery and scheduling the order, not just baking time.
Can I change the number of boxes after ordering?
You can reduce the count if you tell us 48 hours before the delivery day. After that the original count stands, and the total must stay at 50 boxes or more. Changing the menu depends on whether preparation has begun, so say so when you order.
What are the minimum and delivery area for snack boxes?
The minimum is 50 boxes per order, and you can mix several sets. The service area is Bangkok and surrounding provinces, confirmed per address. Delivery is not included in the box price, is charged by real distance, and is quoted before you confirm.
