Common Mistakes When Ordering Snack Boxes

Most mistakes made when ordering break snacks are not big ones. They happen while everyone is busy with the real work of the event, so being ten boxes short on seminar day feels heavier than the number suggests. This guide collects the snack box ordering mistakes we see most often, with a way to check each one. It focuses on errors at the time of ordering and receiving. Getting started with planning an event is covered in other guides.

Where do snack box orders go wrong most often?

Ten mistakes turn up most often. This table lists them in the order they happen, from before you order to the day the boxes arrive, with a short way to prevent each one.

#MistakeHow to prevent it
1Miscounting guests, leaving out staff and speakersAdd the on-site team separately from the registration list
2No spare boxesAllow about 5 to 10 percent extra depending on how certain the numbers are
3Forgetting the delivery feeLeave a line for delivery in the budget and wait for the total the team confirms
4Ordering at the last minuteOrder at least 2 days ahead, and ask about availability first for rush jobs
5Setting the arrival time equal to the break timeHave the boxes arrive about half an hour before the break
6Giving an incomplete addressState the building, floor, room and drop-off point
7Having no receiverGive the name and number of someone who will be on site
8Not mentioning dietary restrictionsMention them when you order, before the team confirms the menu
9Telling attendees the menu before the team confirms itWait for the menu list the team confirms, then tell attendees
10Not checking the sets and total before confirmingCheck the quantity, sets, drinks and the total the team sums up

The next sections cover the most common ones, which are not having enough and boxes arriving too late.

Why you end up without enough snacks at an event

Running short at a break is usually a counting problem, not a case of choosing to order too few boxes. The people who get missed are speakers, hosts, photographers, room staff and anyone who registers on the day.

For example, 45 people registered, with 2 speakers, 5 organising staff and 3 walk-ins, making 55 in all. If you order only 45 boxes you are ten short. With the Recommend Set at ฿70, the amount to order is 55 × 70 = ฿3,850, compared with 45 × 70 = ฿3,150, a difference of ฿700. Having to find extra food on the day usually costs more time than the price difference.

The method for adding a buffer and a percentage table are in the guide how many snack boxes to order. All the buffer figures are suggestions, not guaranteed rates.

Ordering snack boxes too late: causes and fixes

Snack boxes that arrive too late or cannot be ordered in time mostly trace back to last-minute orders or details settled late. We recommend ordering at least 2 days ahead, because the menu, delivery fee and scheduling all have to be confirmed before anything is prepared and sent.

  • If you have less than 2 days: message the team on LINE to ask about availability first. They will tell you whether they can take it. We do not promise rush jobs in advance. Rush options exist only for some pastries, such as ordering before 10:00 for 17:00 the same day or receiving within 4 hours of confirmation, so see the express order page.
  • If budget approval is slow: ask for a quotation as soon as you know the rough numbers, and run the approval process in parallel.
  • If the headcount is not settled: order the number you are sure of, then tell the team about additions on LINE. They will say whether more can be added, depending on that day's schedule.
  • If many people are holding events: get in touch more than 2 days ahead, because that day's slots can fill first.

For more on timing, see how many days ahead to order, and for getting boxes there at the right time, read the delivery timing guide.

Common price and budget mistakes

Money mistakes usually come from assumptions, not arithmetic. Examples are thinking the box price includes delivery, or working out the cost with one set and then ordering a mix of another.

  • Assuming delivery is included in the box price: it is not. The delivery fee depends on the area, and the team confirms it before the order is closed.
  • Calculating on one set but ordering a mix: for example, 60 Recommend Sets cost ฿4,200, but if 20 of them become Best Seller Sets the total is 40 × 70 + 20 × 85 = ฿2,800 + ฿1,700 = ฿4,500.
  • Forgetting there are two rounds: a morning and an afternoon break double the cost. 50 boxes at ฿85 for two rounds = ฿8,500.
  • Taking the price you see as the final price: the final total is confirmed by the team, together with delivery.
  • Forgetting which set has no drink: The Recommend Set at ฿70 has no drink. If the meeting room has no water for attendees, choose the Best Seller Set at ฿85 or ask the team to swap in a drink per box.

The snack box calculator helps you avoid multiplication errors, but the total you rely on is the one the team confirms.

Mistakes in the information you send the team

Incomplete information when ordering means the team has to ask again and time is lost. On the day, these problems turn into boxes delivered to the wrong place or nobody to receive them.

  • An address that is just a building name, with no floor or room, so the delivery person has to phone on the way.
  • A receiver's number that belongs to someone who is not on site.
  • Forgetting to mention building conditions, such as an ID exchange or a required goods lift.
  • Giving a very wide time window, so the team has to guess the right arrival time.
  • Unclear set counts on a mixed order, such as writing only 50 boxes instead of splitting 40 and 10.

The easy fix is to use the quote request form, because the fields are laid out so nothing is missed. If you order by LINE, send one combined message with quantity, sets, date, time, address, receiver and type of event. The team will reply with the confirmed list.

How to check a snack box order before confirming and on receipt

Use two short lists, one before you confirm the order and one when the boxes arrive. Checking twice beats fixing things on site.

Before confirming the order

  1. The box count includes the on-site team and the buffer.
  2. The sets and the number of each match what you want.
  3. The date, time and address the team sums up are correct.
  4. The total clearly separates the cost of the snacks from the delivery fee.
  5. Any documents you need, such as a quotation, invoice or receipt, have been mentioned to the team.

On receiving the boxes

  1. Count the boxes against the order.
  2. Check the boxes are closed properly, not dented or wet.
  3. Check the drinks match the set.
  4. If you find a problem, take a photo and tell the team on LINE at once.

Checking on receipt takes a few minutes, and it means both sides learn about a problem on the same day, which is easier to fix than chasing it later.

What can you do if a mistake has already happened?

Message the team on LINE straight away with the details and a photo if you have one. The team will tell you whether it can be fixed, depending on the situation. We do not promise an outcome in advance, because every case is different.

If you run short on the day, the fastest way is to tell the team how many you are short and when you need them, and they can say whether they have a slot. In the meantime, share out the remaining boxes by group of attendees, for example serving guests first and having the on-site team wait for the next round. This is why a buffer is worth having from the start. Read more in the 50-person break budget example, which includes a buffer.

What to know before ordering so you do not repeat the mistake

Many mistakes come from not knowing the terms of the service. These five are worth reading before you press order every time.

  • 50-box minimum: You can mix sets and pastries, up to 20 pieces of any one kind. Below 50 boxes we do not take it as a normal order.
  • Reductions need 48 hours' notice: After that the original count stands, so settle the final number inside your organisation early.
  • Payment is 100% before the delivery day: If your organisation has to wait for payment approval, agree on that with the team before you confirm.
  • Addresses are confirmed one by one: We deliver in Bangkok and the surrounding provinces, with no fixed district list, and we do not promise a fixed delivery time.
  • No allergy guarantee: Mention food restrictions when you order, and the team will say how far they can help.

You can compare figures before ordering with the snack box budget calculator, but the total you rely on is the one the team confirms.

Summary

Most snack box ordering mistakes come from miscounting people, forgetting the delivery fee, ordering with less than 2 days' notice and sending an incomplete address. You avoid them by counting staff and speakers, adding a small buffer, ordering at least 2 days ahead and checking the sets and total before you confirm. The minimum is 50 boxes at ฿42 to ฿85 each, with delivery charged separately by distance.

Ready to order? Choose your sets on the snack box page or send details through the quotation form and the LINE order button, and the team will send back a list for you to check.

Frequently asked questions

What is the most common mistake when ordering break snacks?

Miscounting people. Speakers, the organising team and walk-ins are often forgotten, and the snacks run short. Add this group separately from the registration list, then allow about 5 to 10 percent extra.

What usually causes an order to be too late?

Mostly ordering with less than 2 days notice, or slow budget approval. We recommend ordering at least 2 days ahead. For a rush job, message the team on LINE about availability first. They will tell you whether they can take it, and we do not promise in advance.

Is delivery included in the box price?

No. The delivery fee depends on the area, and the team confirms it with the total before you close the order. We deliver in Bangkok and surrounding provinces, confirmed by the address of each event.

What should I check when the boxes arrive?

Count the boxes against the order, check that they are closed properly and not dented or wet, and check that the drinks match the set. If there is a problem, take a photo and tell the team on LINE at once.

What if I forgot to mention a guest with a food allergy?

Tell the team as soon as you know. They will say whether it can be fixed, depending on that day. We do not confirm that any standard set is free of allergens, so always mention it when you order.

When do I need to ask for an invoice or receipt?

Mention it when you ask for a quote. Quotations, invoices and receipts are issued on request, so tell the team before you confirm the order, and you will not have to chase them after delivery day.

Does the Recommend Set come with a drink?

No. The Recommend Set at ฿70 has 2 premium pastries but no drink. If you need water or juice, choose the Best Seller Set at ฿85, which has a 180 ml orange juice drink, or ask the team to swap in a drink per box when you order.
