Ordering 200 to 1000 Snack Boxes: What to Prepare

A coffee station in a large conference hall (illustration)Illustration

An annual seminar, a staff orientation or a large meeting that needs 200 snack boxes or more is not just a small order multiplied. What changes is that the team has to check the queue, the menu has to be mixed in a way that works, pickup points have to be split, delivery fees shift with the area, and paperwork usually passes through several departments. This page is a checklist for anyone arranging breaks for 200 to 500 people, and for anyone asking about 1000.

These facts apply throughout. The minimum is 50 boxes per order. Sets can be mixed. Each pastry kind is limited to 20 pieces per order (the premium menu has 19 kinds, the classic menu 10). So one order holds about 190 boxes of the two-pastry sets and about 200 Value Set boxes. Larger quantities are split into several orders or delivery rounds. Delivery is not included in the box price and is charged by real distance. Payment in full is due before delivery day. The service area is Bangkok and the surrounding provinces. BreakHub does not publish a daily production capacity, so the team checks every order of this size first.

How much do 200 or 300 snack boxes cost?

The total is the number of boxes multiplied by the set price, plus the delivery fee the team quotes. This table works out the amount before delivery from the website prices of ฿42, ฿70 and ฿85 a box. Delivery is charged by distance.

BoxesValue Set (฿42)Recommend Set (฿70)Best Seller Set (฿85)
200 boxes฿8,400฿14,000฿17,000
300 boxes฿12,600฿21,000฿25,500
400 boxes฿16,800฿28,000฿34,000
500 boxes฿21,000฿35,000฿42,500
1000 boxes฿42,000฿70,000฿85,000

The 300, 400, 500 and 1000 box rows are arithmetic only. One order holds about 190 boxes of the two-pastry sets (about 200 Value Set boxes) because of the 20-pieces-per-kind cap, so anything larger is split into several orders or delivery rounds. All figures are website prices and exclude delivery. If your budget sits between two sets, choose the set that stays within budget, or mix two sets in one order, for example the Recommend Set for general attendees and the Best Seller Set for speakers and special guests.

Mixed exampleCalculationBefore delivery
220-person event: 200 attendees + 20 speakers(200 x ฿70) + (20 x ฿85)฿15,700
480-person event, one break, one set480 x ฿85฿40,800

Can BreakHub take 500 snack boxes for a 500-person break?

You can ask, but one order holds only about 190 boxes of the two-pastry sets, because each pastry kind is capped at 20 pieces per order. So 500 boxes are split into several orders or delivery rounds, and BreakHub does not promise in advance that they are possible on your date. The team checks the queue and the preparation capacity for that day, then answers that it can take the order, can take part of it, or cannot. Contact the team before you announce the event date to attendees.

A 500-box event can come in two forms: 500 people with one break, or 250 people with two breaks. Both use the same number of boxes and both need several orders, but two deliveries differ from one because timing and delivery fees can differ. If yours is the second kind, see two breaks in one day for more examples.

Example: 250 people, two breaksCalculationBefore delivery
Morning break, Recommend Set250 x ฿70฿17,500
Afternoon break, Best Seller Set250 x ฿85฿21,250
Total, 500 boxes฿17,500 + ฿21,250฿38,750

Is a coffee break for 1000 people possible?

1000 boxes is several times what one order can hold (about 190 to 200 boxes per order), so it is split into several orders or delivery rounds, and it is beyond what we can answer from the website. BreakHub has not announced that it takes events this size, and has not ruled them out either. The team has to check the queue before confirming and look at the date, menu and delivery points for each order. If you have an event at this level, send the details while you can still choose the date, not after the date has been announced.

Prepare these before you ask about 1000 boxes:

  • A flexible date window: give the preferred date and a backup, because one day's queue may be full while another is open.
  • How deliveries can be split: ask whether several rounds or points are possible, since that may ease the load per round but adds delivery fees and coordination.
  • A flexible menu: say how far you can change pastry kinds, because a flexible menu makes it easier for the team to schedule the order.
  • Space to hold the boxes: a thousand boxes need much more room than a meeting table.

If the event is run by an agency with several clients, see snack boxes for event planners as well.

How many days ahead should you order many snack boxes, and how is the queue checked?

Ordering at least 2 days ahead is the minimum for ordinary orders, and orders of several hundred boxes should start much earlier. BreakHub has not published a fixed number of days for orders this size. The same-day and 4-hour rush options use a limited menu, so they do not suit orders of several hundred boxes.

Send the following so the team can check the queue:

  1. The total number of boxes and the number per set.
  2. The date and time the boxes must be ready, and any dates you can shift to.
  3. The number of delivery points and the address of each.
  4. The number of breaks in the event, for example morning and afternoon.
  5. The documents you need for payment approval.

How do you mix the menu in a large order when each pastry kind is limited?

When pastries are mixed in one order, each kind is limited to 20 pieces. That matters a lot for orders of several hundred boxes, because you have to choose enough different pastries to cover the total piece count. The team therefore needs to look at the menu mix from the start, and you should not promise the event organiser any particular pastry.

Three planning habits help:

  • Count pieces before boxes: the Value Set has 1 pastry per box, while the Recommend Set and Best Seller Set have 2, so the piece total grows faster than the box total.
  • Keep attendees flexible about the kind: tell them the box holds pastries from the set's menu, not a specific one.
  • Send several acceptable choices: rank them by preference and let the team confirm what can be arranged.

If an order does not fit the mixing rule above, the team will tell you whether the menu has to change before you confirm and pay. For menu ideas that people like, see menu ideas for meeting breaks.

How do you split pickup points and delivery fees for a large order?

Orders of several hundred boxes are often delivered to several points, such as multiple meeting rooms, several buildings or several branches. Delivery depends on the area and the number of points, is not included in the box price, and the team gives you the total before you confirm.

Example: 300-person eventBoxesReceiver
Main hall, floor 5200Person 1 and a backup
Breakout room A, floor 650Person 2
Breakout room B, floor 650Person 3

If every room is in the same building, ask the team whether one delivery that you then distribute is possible. That may save on delivery, but the work of distributing falls on you. For events across several buildings, give every address and ask for one combined delivery fee.

  • Receiver phone numbers: every point needs a number that answers before the delivery time.
  • Vehicle access: check that vehicles can enter and whether there is temporary parking.
  • Space for the boxes: you need room for a large number of boxes, not just a meeting table.
  • Every address: let the team confirm each one before you commit to the organiser.

What to know before ordering a large snack box order

Large orders carry risks that small ones do not. These are the limits to know before you order:

  • No capacity guarantee: the team checks the queue for each order and may answer that it can take part of it, or none of it, on that day.
  • Reductions need 48 hours' notice: after that the original count stands, so set your own headcount cut-off early enough.
  • Payment in full before delivery day: a large order means a large payment, so start internal approval together with the quotation request.
  • Guests who need care with food: we cannot guarantee any box is allergen-free. If a guest needs care, ask the team early.
  • A receiver who does not show: name a backup at every point.
  • The date you want is not available: the earlier you know, the easier it is to change the date or find another option.

For paperwork, request a quotation on the quotation request page. Invoices and receipts are available on request. Tell the team when you ask for the quote which documents your organisation needs. What to prepare is in what to send when requesting a quotation, and to work out quantity from a registration list, see the how many snack boxes guide.

Summary

One order holds about 190 boxes of the two-pastry sets (about 200 Value Set boxes). Quantities of 500 or 1000 boxes are split into several orders or delivery rounds, and can go ahead only once the team has checked the queue and the menu mix. BreakHub promises no capacity in advance. The minimum is 50 boxes, prices are ฿42 to ฿85 a box, and delivery is charged by real distance. Contact the team before announcing the date, send all delivery points and any flexible dates together, and remember that pastries mixed in one order are limited to 20 pieces per kind.

Send the quantity, sets, date, time and every address through the quotation request form or the LINE order button on a set page so the team can check the queue.

Frequently asked questions

Can I order 200 or 300 snack boxes?

Yes, but the team has to check the queue and the menu mix before confirming, and nothing is promised in advance. Send the quantity, sets, date, time and every delivery point together through LINE or the form. The team will say whether it can take the order, part of it, or none on that day.

How much does a break for 200 people cost?

It depends on the set. At website prices, 200 boxes of the Value Set cost ฿8,400, the Recommend Set ฿14,000 and the Best Seller Set ฿17,000. All exclude delivery, which is charged by real distance, and the team quotes it before you agree.

Can you take 500 snack boxes?

You can ask, but the queue is checked case by case and nothing is promised in advance. One order holds about 190 boxes, so 500 boxes are split into several orders or delivery rounds. At website prices, 500 boxes run from ฿21,000 to ฿42,500 before delivery. Contact the team before you announce the date so there is time to adjust the plan.

Is a coffee break for 1000 people possible?

You can ask the team, but we have not announced that we take 1000-box orders. The team looks at the date, menu and delivery points for each order. One order holds about 190 to 200 boxes, so 1000 boxes are split into several orders or delivery rounds. Send details as early as possible with a flexible date window.

How many days ahead should I order a large quantity?

More than 2 days, which is the minimum for ordinary orders. There is no fixed number of days for large orders, so tell the team as soon as the date is set. The rush options use a limited menu and are not suited to several hundred boxes.

Can a large order mix several pastries?

Yes, but when pastries are mixed in one order, each kind is limited to 20 pieces. A large order therefore needs several kinds of pastry. Ask the team to check the menu mix early, before telling the organiser which pastries will be there.

Can I deliver to several points, and how is the fee worked out?

Yes, once the team confirms each address. Give the address and quantity for every point when you order. Delivery is not in the box price, depends on the area and the number of points, and the team quotes the total before you agree.

What documents can I request for a large order?

You can request a quotation on the quotation request page. Invoices and receipts are available on request. Tell the team what your organisation needs when you ask for the quote, so internal approval can start in time.
