Snack Boxes for Events and Exhibition Booths

If you are looking for a snack box for events, start from how guests behave at an event: people keep moving. Guests stand and talk, wander between booths, and have no time to sit down and eat. Handing out snacks in that setting has to be as easy as possible: pick it up, carry it, eat it on the move. Event snack boxes are designed for exactly that. The event team does not have to set up a snack table or staff a plating station. This page explains which box suits which kind of event and what to prepare on site.

What kinds of events can snack boxes be used for?

They suit any event with many attendees where you want to give out refreshments without stopping the programme: product launches, trade shows, booths in a mall or exhibition hall, publicity activities, and open-door seminars where people come and go.

Different kinds of event call for different ways of handing out:

  • Product launch: guests are press, customers and business partners. The event usually starts on time, and the boxes must arrive before the doors open.
  • Trade show: visitors pass booths all day. The snacks are mostly for the booth team and for visitors who sit down for a chat.
  • Company activities, such as a sports day or a family day: the participants are staff and their families.
  • Hand-out at the registration desk: guests receive a box together with other items.

Other searches that mean the same thing, such as event snack sets or company activity snacks, all refer to this kind of individual snack box.

How do you choose a box that is easy to hand out and carry?

Pick a box that can be eaten with one hand and needs no cutlery, such as the Value Set with one pastry and a cup-style drink, or the Recommend Set with 2 premium pastries. Event guests are usually already holding papers or brochures.

SituationSuitable setPrice per boxWhy

Pastries can be mixed from the menu, up to 20 pieces of any one kind per order, and the team confirms the menu with you before preparation. If you want to change or add another drink, that can be done per box. Ask the team when you order.

How do snack boxes for a product launch differ from exhibition booth snacks?

A product launch hands out once, when guests arrive or before they leave. An exhibition booth needs a steady supply over several hours or days, so the quantity and the delivery rounds are planned differently.

Product launch

Hand out at registration or after the opening ceremony. Have the boxes arrive at least 45 minutes before the doors open, because the team needs time to count and set them out. Example: a launch for 150 people uses 30 Best Seller Sets for press and VIP guests and 120 Value Sets for general attendees. That comes to (30 × ฿85) + (120 × ฿42) = ฿2,550 + ฿5,040 = ฿7,590 before delivery.

Multi-day booth

For a booth that runs several days, talk to the team about delivery rounds from the start, because pastries are baked fresh and booths usually have limited storage. Example: a 3-day booth with 8 staff and 20 boxes a day for visitors makes 28 boxes a day, 84 in total. On the Value Set that is 84 × ฿42 = ฿3,528 before delivery. One thing to know: the 50-box minimum counts per order, so 28 boxes a day cannot be ordered as a separate order each day. Place a single combined order and ask the team on LINE whether it can be split into drops.

What should you prepare for delivery to a trade show or exhibition?

Exhibitions in large buildings often have delivery rules set by the organiser, such as loading windows, a goods reception point and passes for entering the hall. Check these before ordering, because we cannot see the rules inside the event.

  1. Ask the organiser whether there is a set loading-in time, and where a delivery vehicle can stop.
  2. Get the name of a booth or organiser coordinator who can be phoned when the boxes arrive.
  3. Put the booth number, building name, floor and zone in the order message.
  4. If a pass is needed to enter the loading area, tell the team ahead of time.
  5. Have the boxes arrive at least 45 minutes before the event opens, if the organiser allows it.

Our service area is Bangkok and the surrounding provinces, confirmed address by address. Delivery is not included in the box price and is charged by real distance. If the venue has rules on delivery times, tell the team at the start and they will confirm whether it fits the queue. See also the Bangkok delivery page.

How many boxes should you order for an event?

Count the registered attendees and add 10 to 20 percent. If the event is open to walk-ins, allow more than for an event with a guest list, because you cannot know in advance how many will come. Remember that reducing the number of boxes needs 48 hours' notice, so try to order the right number from the start.

For a very large event, see the approach in the guide to snack boxes for 200 to 500 people, or try your own numbers in the budget calculator.

How do you hand out event boxes without creating a queue?

Put the boxes out at several points instead of handing everything out from one table. The entrance and the registration desk are where crowds are thickest, and if every box goes out there, guests stand waiting and neighbouring booths get blocked.

These habits work for event teams:

  • Split the boxes across tables: set up at least two hand-out points some distance apart, for example one at the entrance and one near the booth zone, and have your own team top them up in turn.
  • Keep boxes for special guests apart: if you order mixed sets, label or separate the press and VIP boxes so a set does not end up in the wrong hands.
  • Store boxes you have not handed out in the shade: freshly baked pastries should stay out of sun and heat, even at an event where the hand-out lasts only an hour or two.
  • Put a rubbish bag near the hand-out point: the box and the clear sachet around each pastry become waste the moment a guest opens them.

Every pastry is wrapped in its own clear sachet and every box has tissue, so guests can eat while walking and talking without looking for somewhere to wash their hands. Read next: mess-free snacks for meetings

What to know before ordering snack boxes for an event

Events differ from ordinary meetings because timing and numbers shift easily. These are the limits to know before you order:

  • Minimum of 50 boxes per order: smaller events are not offered. Combine several rounds or booths into one order.
  • Reductions need 48 hours' notice: after that the original count stands, and payment in full is due before delivery day.
  • No promise on arrival time: time is agreed per order. If the organiser sets a loading window, tell the team at the start.
  • No customer logo on the box: boxes are white with the BreakHub logo, and there is no service for printing a logo or stickers for a specific event.
  • No allergy guarantee: if some guests need care with food, ask the team before ordering.
  • No booth staffing: we do not provide on-site staff, tables or chillers as a standard service.

How do you order snack boxes for an event, and what documents can you request?

You can order in four steps. The minimum is 50 boxes, you need to order at least 2 days ahead, payment in full is due before the delivery day, and an event that needs company approval should ask for a quotation first.

  1. Choose a set from the snack box sets page, or give your budget and number of guests and let the team suggest one.
  2. Send the number of boxes, date, time, venue, building name, booth number and type of event on LINE or through the quote request form.
  3. The team confirms the menu, delivery fee and total.
  4. You confirm, and the team prepares the order to your schedule.

A quotation can be requested through the form. Invoices and receipts are available on request, so tell the team when you ask for the quote. For company events, see the page for event agencies. For a rush job, message on LINE and ask about the queue first. The team does not promise in advance.

Frequently asked questions

What is the minimum for event snack boxes?

The minimum is 50 boxes per order. Sets can be mixed, for example the Value Set for general visitors and the Best Seller Set for press or VIP guests. Tell the team the split when you order. If your event is under 50 people, try combining the order with another team or ask the team on LINE.

Which snacks work best for an exhibition booth?

Pick a set that is easy to eat and not messy, such as the Value Set at ฿42, which has a drink in the box, or the Recommend Set at ฿70 if the booth already has drinks. The team confirms the menu before preparing the order.

Can you deliver into a trade show that needs an entry pass?

It depends on the organiser's rules. Tell the team the building name, booth number, coordinator and loading time, and they will check whether delivery fits the queue. Do not assume in advance.

How much is delivery to an exhibition hall?

Delivery is not included in the box price and is charged by real distance. The team gives you the figure once they know the address, before you confirm the order. The service area is Bangkok and the surrounding provinces.

Can I get a quotation for a product launch?

Yes, through the form on the quote page. Invoices and receipts are available on request. Tell the team what documents you need when you ask for the quote.

Can the boxes be printed with our company logo?

No. BreakHub boxes are white with the BreakHub logo, and we do not offer boxes printed for a specific customer or event. If you have a branding need, ask the team when you order and they will answer honestly.

Can I place a rush order just before the event opens?

There are rush options with a limited menu: order before 10:00 for 17:00 pickup or delivery on the same day, or pickup within 4 hours. Message on LINE with the date, time and quantity, and the team will say whether it can be done in time. If it is not a rush, order at least 2 days ahead.
