Snack Boxes for Event Agencies

An event agency buys snacks for several clients, several events and several venues in the same few weeks. Anyone searching for a snack box for an event agency usually has three needs: a price they can pass straight to the client, a clear idea of when the boxes will reach the venue, and someone who answers quickly when the client changes their mind.

BreakHub makes its own snack boxes. They are baked fresh for each order with no preservatives, every pastry sits in its own clear sachet, every box has a tissue, and everything goes into a white box with the BreakHub logo. Packing is included in the box price. Delivery is quoted separately by distance.

How does a snack box supplier work with an event agency?

We work one order per event. You send the event details once, our team confirms the menu, delivery fee and total, and we prepare what was agreed. The quickest route is the quotation request form, or choosing a set on the website and pressing the LINE order button, which copies your order summary for you.

  1. Send the event details: event name, date, the time you want the boxes ready, box count and venue.
  2. Separate each drop point: if there is more than one location, write the address, count and time for each on its own line.
  3. Wait for the confirmation: menu, delivery fee and the total for every drop come back in one message.
  4. Pay in full before delivery day: we then prepare the order as confirmed.

On request we provide a quotation, an invoice and a receipt. The corporate quotation page explains how to ask.

Which set suits a product launch?

For a product launch, the Best Seller Set at 85 baht works when you want guests to pick up one box with food and a drink, and the Recommend Set at 70 baht works when drinks are already served separately. A short press briefing where people stand and talk is fine with the Value Set at 42 baht.

Event typeSuggested setPrice per boxReason
Launch for press and VIP guestsBest Seller Set฿852 premium pastries plus a 180 ml orange juice drink, one box and done
Launch with a separate drinks serviceRecommend Set฿702 premium pastries, no drink in the box
Short press briefing, standing crowdValue Set฿421 pastry and a 100 ml cup of drinking water, quick to eat and easy to hold
Event crew and staffValue Set฿42Can be eaten between tasks without finding a seat

Here is a worked example for a launch with 120 guests: 20 press and VIP guests plus 100 general attendees. Twenty Best Seller Sets come to 20 x 85 = 1,700 baht, and 100 Recommend Sets come to 100 x 70 = 7,000 baht. The total is 8,700 baht before delivery. Two sets can sit in one order, so just say how many of each you need.

Before you message the team, have these four items ready so you get the total and the timing in one reply.

  • The time guests start arriving: this is often earlier than the programme says, and the boxes should arrive before it.
  • Registered guests: add the event crew who also need a box.
  • Where the boxes will sit: the registration desk or welcome table, and when someone is ready to receive them.
  • The per-head budget the client approved: this lets the team suggest the closest set.

How should you order break boxes for an exhibition booth?

Booth boxes should be quick to eat and easy to grab when visitors thin out, which is why the Value Set at 42 baht, with one pastry and a small cup of water, suits a booth team. Count the people staffing the booth each day and multiply by the number of event days.

For a booth with 20 staff over 3 days, one box per person per day gives 20 x 3 = 60 boxes. At 60 x 42 that is 2,520 baht before delivery. If one booth alone does not reach 50 boxes, the order does not meet the minimum. Combine it with the agency's other booths in a single order, or message the team to talk it through.

  • Split deliveries by day: for a multi-day show, do not have everything delivered on day one. Fresh-baked pastries are best eaten on the day they arrive.
  • Ask about loading times: many exhibition halls give vehicles a fixed window. Ask the organiser first, then tell us when you order.
  • Give the booth number: include the name and phone number of someone who will actually be at the booth.

If you split delivery across three days, the fee is priced on the real distance for each trip, and the team tells you before you confirm.

Can you deliver to several drop points for one event?

Multi-drop delivery has to be agreed event by event with the team. We confirm each address individually and do not claim to cover every layout. The usual area is Bangkok and the surrounding provinces, and the 50-box minimum applies to the whole order, not to each drop.

The details that let the team reply quickly are the number of drop points with addresses, the box count and set for each, the time each drop wants its boxes, and a name and phone number for each receiver. The receiver at each drop should be someone other than the agency's main coordinator, because the coordinator is usually running between sites.

The delivery fee differs by distance, so do not assume every drop costs the same. More on our coverage is on the Bangkok and surrounding provinces delivery page.

How do you budget snack boxes per head for an event?

An event snack box budget is the headcount multiplied by the set price, plus the delivery fee the team quotes. This table multiplies 42, 70 and 85 baht directly, so you can estimate before sending a figure to the client.

Events above 200 people raise extra questions about handout timing and where the boxes sit. Continue with the guide to snack boxes for 200 to 500 people.

What to know before ordering

An agency should know these limits before quoting a client, because they affect the promises you make further down the chain.

  • Minimum 50 boxes per order: smaller events need to be combined with other jobs or discussed with the team. We do not take orders below 50.
  • No customer-branded boxes: our boxes are white with the BreakHub logo. We do not make boxes or stickers in a client's branding.
  • Delivery is separate from the box price: it is priced by real distance and quoted before you confirm, so include it in the figure you give the client from the start.
  • Confirmed address by address: we do not publish a full list of districts, and the team checks each address.
  • No allergy guarantee: if attendees have dietary limits, tell us when you ask for the quote and the team will help check the menu, but we cannot promise allergen-free food.
  • Reducing the count needs 48 hours: after that the original count stands. Payment is in full before delivery day.

How far ahead should an agency book?

An agency should tell the team at least 2 days before delivery. For a large or multi-drop event, tell us as soon as you have rough numbers from the client, so the team can check the schedule early.

SituationWhat to do
The client has not locked the headcountSend rough numbers and ask for a quotation first, then confirm the real count once you have it.

Event is less than 2 days awayTwo rush options exist: same-day (order before 10:00, receive at 17:00) or within 4 hours of confirmation. The menu is limited and it depends on the queue that day. See the rush order page.
Several drops at different timesSend the full drop schedule in one message.

A common planning slip is mixing up the event start time with the time the boxes should arrive. If the event starts at 10:00, set the ready time earlier than that, so the person receiving can count the boxes and lay out the table.

Summary

BreakHub snack boxes for event agencies come in 3 sets at 42, 70 and 85 baht per box. The minimum is 50 boxes, and sets can be mixed in one order. Delivery is priced by distance and confirmed address by address, and a multi-drop event needs one schedule sent in a single message. Boxes branded with a client's logo are not available. If you are pitching a client, ask for a quotation first.

When you are ready, fill in the quotation request form or press the LINE order button on a set page, and the team will confirm the menu, delivery fee and total.

Frequently asked questions

What is the minimum order of snack boxes for an event agency?

The minimum is 50 boxes per order, and you can mix sets in one order. Prices start at 42 baht per box, with the Recommend Set at 70 baht and the Best Seller Set at 85 baht. Delivery is extra, priced by real distance and quoted before you confirm.

Can you deliver to several drop points for one event?

It is agreed event by event. Send the addresses, box counts and times for every drop in one message. The team checks each address and tells you which drops they can cover, with the fee, before you decide. The usual area is Bangkok and the surrounding provinces.

Can I get a quotation to pass on to my client?

Yes. Use the quote form at /quote/ with the headcount, date and venue, and the team replies with the total and delivery fee. A quotation, invoice and receipt are all available on request for each order.

Which set is best for an exhibition booth?

For booth teams who need to eat quickly, the Value Set at 42 baht, with one pastry and a cup of water, is the usual choice. For a multi-day show, order separate deliveries per day, and ask the organiser what loading window the venue allows.

Can you put a client logo on the boxes?

No. Our boxes are white with the BreakHub logo, and we do not offer printing or stickers in a client brand. If a client needs custom-branded packaging as a main requirement, it is better to know that before you decide to order.

Can I place a rush order for an event confirmed late?

Possibly, depending on the queue that day. Options are same-day (order before 10:00, receive at 17:00) or within 4 hours of confirmation, with a limited menu. Message the team to check availability, and give 2 days notice whenever you can.

What if the client reduces the headcount after confirming?

You can reduce the count if you tell us at least 48 hours before delivery. After that the original count stands. The total must still meet the 50-box minimum, so it helps to tell the client about this when you send the quotation.
