Snack boxes for parent meetings
IllustrationA parent meeting is different from an ordinary business meeting. People do not arrive together. Some come straight from work without having eaten, some bring their children, and nobody wants to hold a plate while talking to a teacher. That is why parent meeting snacks work best as a box handed over once and done. This page explains which set to choose, how to work out a budget and how to hand the boxes out without a fuss.
BreakHub delivers snack boxes in Bangkok and nearby provinces. The minimum is 50 boxes per order, and prices exclude delivery, which is charged by real distance. Photos on this site are illustrations. If the meeting has fewer than 50 parents, try combining with another class in the school or message the team on LINE.
Which set for a parent meeting
For a large number of parents the Value Set at 42 baht is usually enough, because adults do not want several pastries and most meetings last 1 to 2 hours.
| Set | Price per box | What is inside | Good for |
|---|---|---|---|
| Value Set | 42 baht | 1 pastry, 100 ml cup of drinking water | Short meetings, large numbers of parents |
| Recommend Set | 70 baht | 2 premium pastries (no drink) | Schools that already provide water, evening meetings |
| Best Seller Set | 85 baht | 2 premium pastries, 180 ml orange juice | School board members, special guests |
If you want a different drink in the box, the team can swap or add one per box; ask for the price when you confirm. The Best Seller Set suits a head teacher, board members or an invited speaker better than general parents.
What budget for a parent meeting of 150
With the Value Set at 42 baht for 150 parents, the cost of the pastries is 6,300 baht before delivery. That figure does not include spare boxes or boxes for teachers.
| Case | Calculation | Subtotal before delivery |
|---|---|---|
| 150 parents, Value Set | 150 × 42 | 6,300 baht |
| 80 parents on the Value Set plus 12 teachers on the Best Seller Set | (80 × 42) + (12 × 85) | 4,380 baht |
| 50 parents, Recommend Set | 50 × 70 | 3,500 baht |
| 200 parents, Value Set, plus 10% spare | 220 × 42 | 9,240 baht |
Some schools set the budget per head, for example 50 baht a person. In that case the Value Set at 42 baht fits, while the Recommend Set at 70 baht goes over, and two pastries would need extra budget. Use the calculator to try your real numbers.

Handing out boxes without a long queue
Put the boxes on the registration table and let parents take one as they sign in. It is faster than teachers walking around the room, and nobody gets skipped.
- Have the boxes arrive at the school about 30 to 60 minutes before the meeting starts, which gives time to check the count and set up the table.
- Name one teacher to sign for the boxes and give the team that name before the day.
- Keep a separate pile for teachers and speakers so they do not mix with the parents' boxes.
- Keep a few spare boxes in the admin office in case more parents come than expected.
- Have a bin near the door when the meeting ends, because parents often eat and throw away on the way out.
If the meeting is split across several rooms by year group, give the number of boxes per room when you order, and the team will say whether it can be done. For more on multiple drop-offs, read university snack boxes, which has a sample schedule that works here too.
Elderly parents and food allergies: what else to think about
At parent meetings grandparents often come in place of the parents. Choose soft pastries that are easy to eat and not too sweet, and tell the team if anyone has a food allergy or avoids certain foods.
The team can tell you only what they can see from the ingredients on that round's menu, and does not guarantee that any set is free of allergens. If a parent has a condition such as diabetes, they should decide for themselves whether to eat. Do not advertise the pastries as suitable for people with health conditions.
For choosing pastries for older guests, there is a separate guide at snacks for older guests, and for preparing an allergy list see the food allergy checklist.
Which pastries suit which meeting time
The time of the meeting affects the choice more than you might think. Parents who come in the morning want something light, while people who arrive after work are often properly hungry.
| Time | What parents are usually like | Sets to consider |
|---|---|---|
| 08:30 to 10:30 | Most have had breakfast and want water and something light | Value Set 42 baht |
| 13:00 to 15:00 | Just had lunch, and often want water more than a heavy snack | Value Set 42 baht |
| 16:30 to 18:30 | Coming from work, hungry, want two pastries | Recommend Set 70 baht or Best Seller Set 85 baht |
This table is a general guide, not a survey. The school knows its own parents best and will decide better. If you cannot choose, give the team the time and the number of people and ask for a recommendation.

How to order refreshments for parents
- Choose a set from the table, or give your budget per head and let the team recommend one.
- Send the number of boxes, date and time, school address, event type and the name of the person receiving, through LINE or the quote request page.
- The team confirms the menu, the delivery fee and the total.
- You confirm, and the team prepares the boxes.
Order at least 2 days ahead. If the meeting is sooner, message the team on LINE to ask about the queue. A limited-menu rush option exists, and we do not promise it. The team issues a quotation, an invoice and a receipt on request. For an overview of all school events, read school snack boxes.
Parents bring children: do you count extra boxes
If the school lets parents bring children, count the children old enough to eat a pastry in the total, and tell the team how many small children are coming, so they can check whether that round's menu has pastries suitable for children.
For example, 100 parents confirm and the school expects about 30 children. Order 100 boxes for parents and 30 for children, 130 in all. On the Value Set that is 130 × 42 = 5,460 baht before delivery. The number of children is the school's estimate, not a figure set by the team.
For pastries for children specifically, read about ages and what to avoid in break snacks for children.
What schools often forget when ordering parent meeting snacks
- Confirmed numbers: schools often count only the parents who confirmed, when more usually come on the day, so allow 5 to 10 percent extra.
- Teacher boxes: remember the teachers on the registration desk and the staff helping.
- Vehicle route: tell the team which floor the meeting room is on, whether there is a lift and which gate vehicles can use.
- Delivery time: do not set it to exactly the meeting start time. Leave at least 30 minutes.
- Dietary limits: ask the team about the menu for parents with dietary restrictions before you confirm.
For events where many adults sit for several hours, see the notes on easy-to-eat choices in easy-to-eat meeting snacks.
How many days ahead should you order parent meeting snacks?
Parent meeting snacks should be ordered at least 2 days ahead, because BreakHub bakes fresh for every order and the team has to confirm the menu, the delivery fee and the time with the school. In practice schools should allow longer, because they have to wait for parent replies and budget approval.
A workable order of events: if the meeting is on Friday, close replies by Monday or Tuesday, send the count to the team by Tuesday, and pay in full before delivery day. If the count changes, you can reduce boxes only with at least 48 hours' notice before delivery, and after that the original quantity stands. The order lead time guide has the details.

What to know before ordering
There are a few limits to know before ordering parent meeting snacks from BreakHub. The minimum is 50 boxes per order, so a room with fewer parents must combine with another room or ask the team. We deliver in Bangkok and the surrounding provinces and confirm each address, so we do not promise to reach every school. We also do not guarantee the snacks are safe for people with food allergies.
- Delivery fee: it is separate from the box price and charged by real distance, quoted before you confirm.
- Payment: payment in full is due before delivery day, so start the school's payment paperwork early.
- Rush orders: the rush options use a limited menu and depend on the day's queue. See the rush order page for the conditions.

Frequently asked questions
Which set should I choose for a parent meeting?
If there are many parents and the meeting is short, the Value Set at 42 baht is enough. If you want two pastries, choose the Recommend Set at 70 baht. A head teacher and special guests might use the Best Seller Set at 85 baht.
What is the minimum order for a parent meeting?
The minimum is 50 boxes per order. You can mix sets in one order, such as the Value Set for parents and the Best Seller Set for teachers. Just tell the team the number of each set when you order. If you have fewer than 50 parents, try combining with another class or message us on LINE.
How much spare should I order?
About 5 to 10 percent of the confirmed number, because extra parents often turn up without telling you. If the final number changes, tell the team as early as you can before the day.
How long before the meeting should the boxes arrive?
We suggest at least 30 minutes before the meeting starts, which gives time to check the count and set up the registration table. The team confirms the real time with you when you confirm the order.
Some parents have food allergies. What do I do?
Give the team the list of allergies before the menu is confirmed. They will tell you what they can see from that round's ingredients, but do not guarantee that any set is free of allergens. A parent with a serious allergy should decide for themselves before eating.
Is delivery to the school included in the box price?
No. Delivery is charged by real distance, and the team gives you the amount when you confirm the total. We deliver in Bangkok and nearby provinces, checking each address.
Can I get a quotation for the school?
Yes. Send the quantity, set and date through the quote request form. The team issues a quotation, an invoice and a receipt on request. If the school needs a particular document format, tell the team first.
How many days ahead should I order for a parent meeting?
At least 2 days ahead, because everything is baked fresh and the team must confirm the menu, fee and time. Allow longer if you are waiting for parent replies. You can reduce the box count with 48 hours' notice before delivery.
