Snack Boxes for Event Planners
IllustrationIf you are an event planner who has to find snacks for a client's meeting, seminar or launch, you need three things from a supplier: delivery on time, quantities that match the order, and an easy conversation when the client changes their mind. This page is for planners looking for a snack box for event planners, working with a client at the other end.
BreakHub bakes fresh for every order with no preservatives, and delivers under its own brand. The price per box depends on the set you choose. Delivery is charged by real distance, separately from the box price. The minimum is 50 boxes, sets only, delivered in Bangkok and the surrounding provinces. There is no published table of agency terms yet, so those are discussed order by order.
How does an event planner order snack boxes for a client event?
You can order through the LINE order button or the quote request form. Give the number of boxes, date, time, venue and event type, and the team confirms the menu, delivery fee and total before you agree.
A sequence that works for an event with a client at the other end:
- Ask the client what the break budget per head is and how many breaks there are.
- Pick the set closest to that budget from the price table and work out the total before delivery. If the client's event is under 50 boxes you cannot order it alone. Try combining it with another of your events on the same day in a nearby area, or message the team first.
- Send the details to the team so they can check the delivery area and the fee.
- Put the confirmed figures into your own quotation.
- Confirm with the team only after your client approves, never before.
The last step matters because the pastries are prepared to order. If you confirm before the client approves and the client then cancels, you are the one who carries the risk.
How should you choose a set for a client event, and what does it cost?
Choose a set from the client's budget per head, then multiply by the number of attendees. The prices below are the website prices before delivery, and they include the box, tissue and individually wrapped pastries.
| Set | Price per box | What is inside | Suits (a guide) |
|---|---|---|---|
| Value Set | ฿42 | 1 classic pastry + 100 ml drinking water cup | Tight budgets, internal meetings, short breaks |
| Recommend Set | ฿70 | 2 premium pastries, no drink | Half-day seminars where drinks are arranged separately |
| Best Seller Set | ฿85 | 2 premium pastries + 180 ml orange juice drink | Client events and invited guests who should get pastries and a drink in one box |
For example, a seminar of 80 people with one break on the Best Seller Set is 80 × ฿85 = ฿6,800 before delivery. The Recommend Set would be 80 × ฿70 = ฿5,600, but you would then supply drinks yourself, so compare the full cost of both. Drinks in the box can be added or swapped per box, and the team gives you the total when it confirms. For more on counting boxes, see how many snack boxes to order.
Can an agency add its own margin or coordination fee to the client quote?
Yes. The quotation you send your client is your own document. The price you pay BreakHub and the price you quote the client are two separate figures, and neither needs to be disclosed to the other side. That is ordinary agency practice. What matters is giving the client a clear total.
Write the quotation so the client can see each line: which set, how many boxes, the price per box, delivery, and your own coordination fee if you charge one. That fee is yours and is not a BreakHub price.
Two things to watch:
- Do not state anything we have not confirmed: For example, that a pastry is allergen-free or meets a religious dietary requirement. Ask the team first, every time.
- Do not promise a specific pastry: The pastries in each set are mixed from the menu, with no more than 20 pieces of any one kind. Let the client choose from the real menu, and let the team confirm before preparation.
Agency-specific terms, such as repeat orders or pricing for high volumes, are not published. The team discusses them order by order through the form on the wholesale page. If you handle events for several clients each month, see the notes on snack boxes for event agencies.

What timeline should you set for a client event?
Plan backwards from the event date, because client events often change in headcount close to the day. Leaving the team time reduces the risk. The table is a planning guide, not a fixed BreakHub schedule, apart from the items marked as the latest.
| When | What to do |
|---|---|
| 7 days before | Ask the client for an approximate headcount. Send the form to the team to check the area and the delivery fee. |
| 2 days before (the latest) | Confirm the count, sets and menu with the team. Reducing the count needs 48 hours' notice, and payment in full is due before delivery. |
| 1 day before | Send the on-site contact, receiving time and drop-off point to the team. |
| Event day | Have a named person wait for the delivery, check the box count, and take a photo on receipt. |
Order at least 2 days ahead. For something sooner there are rush options: order before 10:00 for 17:00 the same day, or within 4 hours of confirmation, on a limited menu. The team says case by case whether it can take the order and does not promise it every time. See the rush order page.
How do you handle several breaks and several drop-off points?
A two-day seminar or an event with several breakout rooms works if you tell the team at the start. Morning and afternoon breaks on the same day can be set as two deliveries, or one delivery that you hold yourself. Talk it through with the team, because it affects freshness and the delivery fee.
For example, a two-day event with two breaks a day, 60 attendees, the Recommend Set for the morning break and the Best Seller Set for the afternoon:
| Break | Set | Calculation | Total before delivery |
|---|---|---|---|
| Day 1 morning | Recommend Set | 60 × ฿70 | ฿4,200 |
| Day 1 afternoon | Best Seller Set | 60 × ฿85 | ฿5,100 |
| Day 2 morning | Recommend Set | 60 × ฿70 | ฿4,200 |
| Day 2 afternoon | Best Seller Set | 60 × ฿85 | ฿5,100 |
| Total | ฿18,600 |
These totals exclude delivery, which is charged by real distance and the number of runs, and the team quotes it before you agree. Every break in the example has 60 boxes, so each clears the 50-box minimum per order. Mixing sets in one order is fine, so tell the team when you order. For two breaks a day, see the guide on two breaks in one day.

What goes wrong on site, and how do you manage the handover?
The problems planners hit most often are usually nobody to receive the delivery, an unclear drop-off point, or a vehicle that cannot enter the building, more than the pastries themselves. Put all of it in the form.
- On-site coordinator: Give a name and a number that works at delivery time, not just the one you used to order.
- Drop-off point: For example the lobby, the banquet room or the loading bay.
- Building restrictions: Such as temporary parking, or the need to swap an ID card.
- Ready-to-serve time: State when you want the boxes ready to serve, not when the vehicle arrives.
When the boxes arrive, count them and check them against the order straight away. If something is wrong, tell the team at once and send a photo. For timing, read how to order a snack box so it does not arrive late.

What documents can an agency get from BreakHub?
You can request a quotation, an invoice and a receipt as you need them. Start from the quote request page, or read about the quotation. For any other document your corporate client may require, ask the team order by order.
If your client is an organisation with a purchasing procedure, ask at the start what documents it will need, and tell the team before you order, not after the delivery.
What to know before ordering for a client event
Five limits are worth telling your client when you pitch the event, because they change how you plan and how you write the quotation.
- The minimum is 50 boxes per order: A smaller event cannot order alone. Combine orders or ask the team.
- Addresses are confirmed one by one: The service area is Bangkok and the surrounding provinces. The team confirms each address and does not promise areas it has not agreed to.
- Same-day delivery is not available for everything: Rush orders use a limited menu and depend on the day's queue.
- Reducing the box count needs 48 hours' notice: After that the original count stands, and payment in full is due before the delivery day.
- No allergen guarantee: Attendees with restrictions must check the ingredients themselves.

Frequently asked questions
Can an event planner order snack boxes for a client's event?
Yes. The minimum is 50 boxes per order and we sell sets only. Send the number of boxes, date, venue and event type through LINE or the form, and the team confirms the menu, delivery fee and total before you agree.
Is there special pricing for agencies or organisers?
There is no published agency price list yet. The website prices are ฿42 to ฿85 a box depending on the set. If you order regularly, send the details through the form or LINE and the team discusses terms order by order.
Can I add our own margin to the client quotation?
Yes. The quotation you send your client is your own document, and you set your own price and coordination fee. Do not write statements BreakHub has not confirmed, such as allergen-free claims or religious dietary certification.
How many days ahead should I order for a client event?
At least 2 days. For a large or multi-break event, allow more. Rush options exist: order before 10:00 for 17:00 the same day, or within 4 hours of confirmation, on a limited menu, with no promise that it can be taken every time.
What if the client changes the headcount close to the event?
Tell the team as soon as you know. An increase depends on the remaining queue. A reduction needs 48 hours' notice and cannot go below 50 boxes. Because the pastries are made to order, agree with your client the last day they can change the count.
Can you deliver to several drop-off points or meeting rooms?
Give the number of drop-offs and every address when you order. The team confirms each point and its fee. Delivery is charged by real distance, separate from the box price, and each order must still be at least 50 boxes.
Can I get an invoice and a receipt for a corporate client?
Yes. A quotation, an invoice and a receipt are available on request. Start from the quote request page. If your client has other document requirements, tell the team before you order so they can confirm order by order.
