Choosing Snack Boxes for Outdoor Events
IllustrationAn event in an air-conditioned room and an event in full sun cannot always share the same break plan. A pastry that looks fine in a meeting room can turn greasy or dry after two hours in an open field. This guide covers the outdoor event snack box from the organiser's side: what to prepare, where to put the boxes, when to hand them out and what to ask the team when you order.
BreakHub delivers snack boxes in Bangkok and the surrounding provinces. The minimum is 50 boxes, and prices do not include delivery, which is charged by real distance. The photos on the site are illustrations. You can mix pastries from the menu, and the team confirms with you before delivery.
How is an outdoor event different from an indoor one?
An outdoor event differs in four ways: heat, wind, insects and uneven ground. Indoors you control most of these. Outdoors you control very little, so you have to compensate with how you place and hand out the boxes.
- Sun and heat. These make cream run, soften pastries too much and warm the water in the box. Keeping boxes under a tent and handing them out close to eating time helps the most.
- Wind. It blows away napkins and bags. Use weights, or stack boxes inside a larger crate with a lid.
- Insects. They settle on sweet pastries in open boxes, so keep the boxes closed until people are ready to eat.
- Uneven ground. Some events have no tables to sit at, so choose pastries that can be eaten by hand without a spoon.
The weather is different every day, so we cannot give you a number of hours that a pastry will last. Use judgement on site. If a pastry looks greasy or smells off, do not hand it out.
Are there break snacks that do not need refrigeration, and what should I ask the team?
Dry baked items such as cookies, brownies or croissants usually hold better at room temperature than fresh cream or fresh fruit fillings do. BreakHub does not guarantee how long any menu item keeps, so ask the team before you choose. Our pastries are baked fresh for each order with no preservatives, so guests should eat them on the day they arrive.
Before confirming an outdoor order, ask the team three questions.
- Will any box on the day contain fresh cream or fillings that need refrigeration?
- If so, can I have a replacement that does not need refrigeration?
- Roughly how many hours after delivery should the pastries in this menu be eaten, in the team's estimate?
The answers apply to that order only. They are not a standing guarantee. The team may say it is not sure, which is a more honest answer than a number with no source. If the pastry label states storage instructions, ask to see them before the event.

Where should boxes go, and when should I hand them out?
Put the boxes in shade close to the handout point, and hand them out as near as possible to the time people will eat. Having boxes delivered in the morning and waiting to hand them out in the afternoon is the riskiest pattern for an event in direct sun.
- Have the boxes arrive 30 to 60 minutes before the handout. That is enough to set up and count, without a long wait.
- Split a full-day event into two deliveries. For example 09:30 and 13:30 instead of one. The team will assess the per-round quantity with you.
- Use a tent or a roof. Do not put the boxes on hot pavement or next to a generator.
- Put one coordinator in charge of the handout point and move leftover boxes into shade or an air-conditioned room if there is one.
- Decide in advance what happens to leftover boxes. Do not hand them out later if you are unsure about their condition.
If you want delivery to several points on one site, such as a registration point and an activity point, state each point and its time when you order. The team assesses whether it can be done. On punctual delivery, read on-time snack box delivery.
Which set suits an outdoor event?
A set with a drink suits outdoor events better, because people sweat and want water. A set without a drink needs water arranged separately. The table uses an outdoor family day for 120 people as the example: box price times 120, before delivery.
| Set | In the box | 120 boxes | Outdoor note |
|---|---|---|---|
| Value Set ฿42 | 1 pastry, 100 ml drinking water cup | ฿5,040 | Simplest, easy to budget, water included |
| Recommend Set ฿70 | 2 premium pastries, no drink | ฿8,400 | You supply the water, and can choose pastries without fresh cream |
| Best Seller Set ฿85 | 2 premium pastries, 180 ml orange juice drink | ฿10,200 | Better for guests seated under a tent than for moving activities |
If you split delivery into two rounds, say 60 boxes each, the delivery fee may go up because it is two trips, and the 50-box order minimum still has to be met. Ask the team before deciding. Hot drinks and special cold drinks are not a standard service, so ask the team whether they can be arranged.
Is the water in the box enough for an outdoor event?
The 100 ml cup of drinking water in the Value Set is enough for a light event. It is not enough for an activity where people walk or run for a long time and sweat a lot. If your event is heavier than that, set up bottled water at a separate point, or tell the team when you order that you want to swap or add a drink in the box. The team quotes the extra cost honestly.
Picture a fun run or a half-day recreation event. People who finish reach for water before they reach for a pastry. So water should sit near the handout point and be reasonably cool. If you can, use your own cooler bag or box. For sports events in particular, read snack boxes for sports events.
How do I handle messy pastries outdoors?
Choose pastries that can be eaten by hand and leave few crumbs. Put bags or bins near the handout point, and bring extra napkins on top of the tissue in each box. Guests who eat while walking will drop litter along the way if there is nowhere to put it.
Easy pastries on the menu include Plain Croissant, Fresh Butter Bun, Butter Cake and Banana Almond Cake. Items with sauce or loose fillings, such as the pizza-sauce pies, are best eaten soon after opening. For school activities, see snack boxes for school events, and for especially hot weather read snack boxes in hot weather.

How do I order snacks for an outdoor activity?
Ordering takes four steps, and you must order at least 2 days ahead. First, choose a set, or give a budget per head and let the team suggest one. Second, press the LINE order button, which copies the order summary for you, or send the count, date, time, place, whether it is open air or under a tent, whether there is shade and the real handout time through the quote form.
Third, the team confirms the menu, delivery fee and total, and tells you if there is anything to watch with that menu. Finally you confirm, and the team prepares the boxes for the agreed time. Payment is in full before the delivery day. If your event is closer than 2 days, message the team to ask about the rush queue. The team will not promise anything before checking. On lead times, read how many days ahead to order.
What should I check before an outdoor event?
One or two days before the event, check these six things so the boxes reach guests in good condition.
- Weather forecast. If it is very hot or rainy, talk to the team about the menu and handout time.
- Shade. A tent or roof to keep the boxes under before the handout.
- Drop-off point. The name of the coordinator who will be on site, and a route the vehicle can reach.
- Box count. Include attendees, staff and volunteers, then add a reserve of about 5 to 10 percent. For the method, see how to count the boxes.
- Extra water. For a heavy activity, arrange water separately or tell the team when you order.
- Food allergies. Collect the list from attendees and send it to the team so they can check the menu in advance.
What to know before ordering
An outdoor event has conditions we cannot control entirely, so know these limits before you order.
- We do not guarantee how long a pastry keeps. It depends on the menu and the weather on site. The team can only give advice for your specific order.
- The minimum is 50 boxes per order, ordered at least 2 days ahead. Rush options use a limited menu and depend on the queue.
- There is no standard refrigerated storage or hot drink service. The organiser has to arrange shade and storage.
- Delivery area is confirmed per address. A field or a site outside the city needs the team to check first that it can be reached.
- No allergy guarantee. People with allergies must check the ingredients themselves.
Summary
An outdoor event snack box depends on shade, handout timing and the type of pastry before price. Keep boxes in shade, have them arrive 30 to 60 minutes before the handout and ask the team for pastries without fresh cream. A set with a drink, such as the Value Set at ฿42, suits events where people sweat. The minimum is 50 boxes, with at least 2 days of lead time, and delivery is charged by distance.

Frequently asked questions
Which set should I order for an outdoor event?
The Value Set at 42 baht is the simplest because it comes with drinking water. The Best Seller Set at 85 baht includes an orange juice drink. The Recommend Set at 70 baht has no drink, so you supply water. Before ordering, ask the team whether your pastries have cream or fresh filling.
Are there break snacks that do not need refrigeration?
Dry baked items usually hold better at room temperature than fresh cream pastries, but we do not guarantee how long any item keeps. Ask the team when you order whether the pastries you chose need refrigeration and roughly how many hours after delivery they should be eaten.
How long before the handout should the boxes arrive?
About 30 to 60 minutes, enough to set up the table and count the boxes. Having boxes arrive in the morning to wait for an afternoon handout is not recommended for events in direct sun. For a long event, split delivery into two rounds and give the team each time when you order.
What should I do if pastries turn greasy or soft during the event?
Do not hand them out if you are concerned about their condition. Keep the rest in shade and tell the coordinator. To prevent it, ask the team for pastries without cream filling and keep the boxes under a tent from the start.
Can I have delivery to several points on the same site?
State each drop-off point and its time when you order, and the team will assess whether it can be done. The delivery fee is not part of the box price and is charged by real distance. Splitting into several trips may raise the fee.
How many days ahead do I have to order?
At least 2 days ahead. For an urgent event, message the team about the rush queue first. Rush options exist, with a limited menu, for same-day pickup or within 4 hours, but we do not promise them in every case until the team confirms.
What is the minimum order for an outdoor event?
The minimum is 50 boxes per order. You can mix sets in one order, and no pastry kind can exceed 20 pieces. If your event is smaller, combine events or message the team. The team will tell you honestly whether it can be done.
